Brussels managing agents: organise PEB certificates for your building
A practical approach for Brussels property managers: list the homes, collect shared technical documents and coordinate PEB visits.
Twenty apartments, several occupants and one communal boiler room: a PEB campaign needs careful coordination. The managing agent needs to know who should provide each document, which visits are planned and what still needs resolving. A straightforward tracking table can make the work much easier to follow.
1. Start with a record for each home
List the units involved and any existing certificates. Separate confirmed needs from decisions still pending. A group assignment does not mean that one document replaces the individual homes’ certificates. Consult the official information on PEB certificates to distinguish the different situations.
2. Prepare the shared technical file
Collect useful evidence about the roof, façades and communal systems in one place. Choose a contact who can locate documents and clarify which building elements they cover. Keep a list of available and missing items, without assuming that one piece of information applies to every apartment.
3. Coordinate visits with occupants
- Explain the purpose of the visit and the access needed.
- Agree appointment times and a contact for changes.
- Check access to communal technical rooms separately.
- Track completed visits and outstanding points.
Avoid circulating occupants’ personal contact details widely. Share only the information needed by the people organising the assignment.
4. Plan a readable handover
Keep each home’s documents, shared evidence and the managing agent’s summary clearly separated. When preparing a general meeting, distinguish findings, unanswered questions and decisions for consideration. A PEB recommendation alone is neither a contractor’s quotation nor a decision by the co-owners.
